Payment and invoices

All travel expenses are billed with a monthly invoice based on usage and the class in which you have travelled (1st or 2nd class). As contact person for NS within your company, you can view the invoices in Mijn NS Zakelijk and download specifications.


Itemised invoices in Mijn NS Zakelijk

The invoice includes the following information:

  • NS-Business Card subscription
  • Train journeys, supplements and any corrective fees
  • Bus, tram and metro journeys
  • Door to door services purchased

You will receive the invoice for services used in the 3{sup}rd{/sup} week of the following month. We do not provide a separate fiscal annual report. You can use the monthly invoice for your bookkeeping. This shows the journeys that you and/or other employees made during the previous month.

Please note: invoices and attachments are available in Mijn NS Zakelijk for a maximum of 18 months.

Journeys made on the invoice

All directly charged journeys appear on the invoice, except for journeys that are made using a Traject Vrij subscription, Trein Vrij subscription or OV Vrij subscription. These journeys will not be shown on the invoice overview, as you have already been billed for these travel costs. Journeys that the card holder makes using door-to-door services are always shown on the invoice.

The rates on the invoice are the same as the prices that NS and other public transport carriers charge for travelling using balance. Please refer to the websites of other rail carriers to see the rates that they charge.

Paying for fixed subscriptions

The fixed costs for a Traject Vrij, Trein Vrij, OV Vrij and Dal subscription will be billed in advance once per year. The invoice date is based on the start date for the subscription.

Distinction between private and business travel

Mijn NS Zakelijk enables card holders to add the characteristic 'Private', 'Business' or 'Commute' to every transaction. This way, you can get an insight into the proportions of business travel, commuting and private use of the NS Business card for each card holder. You can use this to, for example, charge the card holder for private use. If your organisation does not wish to facilitate private use, then you can make the necessary arrangements with your employees. NS Zakelijk can provide a template user agreement for this purpose.

Changing account number

  • Do you have direct debit, and would you like to change your bank account number? You can do so by means of an iDEAL payment. Log in as the contact person in Mijn NS Zakelijk and click on 'Company details'.
  • If you have direct debit, but you don't have access to iDEAL, you can transfer € 0.01 to IBAN number NL59 ABNA 0590 8498 75, to the name of 'NS Reizigers Debiteurenadministratie', then send a proof of payment via e-mail to: nszakelijk@ns.nl.

Changing payment period from annual to monthly

  • If you manage fewer than 5 cards, and would like to change your payment term, you can do so in Mijn NS Zakelijk under the heading 'Company details'. Please note that the changes will only go into effect after the end of the contract year.

    If you would like the changes to go into effect immediately, you can terminate the underlying NS-Business Cards (with current contracts and annual payment). After you have terminated these cards and changed the payment term in Mijn NS Zakelijk, you can request new NS-Business Cards. When you request the new NS-Business Cards, the subscription costs will be billed to you on a monthly basis.
     
  • If you are an NS contact person, and your organisation has more than 5 NS-Business Cards, please contact your NS account manager to change your payment term.

Payment arrears paid

Via Mijn NS Zakelijk, you can view your invoices and their payment status. You can also use the invoice number and client number to pay any unpaid invoices. 

The transaction overview

Each month, business clients receive an invoice for the full contract with NS Zakelijk. In addition to this comprehensive invoice, you can also choose to view separate invoices per department in Mijn NS Zakelijk. In compliance with privacy legislation, only the invoice will be sent via e-mail. As the NS contact person, you can view and download the itemised invoice and the transaction overview in Mijn NS Zakelijk.
