About NS-Business Card
What is an NS-Business Card?
Een NS-Business Card is een mobiliteitskaart voor alle zakelijke reizen die je gratis aanvraagt. Geen gedoe meer met bonnetjes en saldo laden: met de NS-Business Card reizen jij en/of je medewerkers met vrijwel elk vervoermiddel in Nederland. Van (internationale) trein, bus, tram, metro, tot OV-fiets, deelauto en deelscooter. Alle gemaakte reizen verschijnen achteraf op de maandelijkse NS-Business Card factuur.

What is the difference between the NS-Business Card and NS Flex?
With the NS-Business Card or NS Flex you choose a way of traveling that suits you. You travel on account and therefore do not need to add any balance to your card. The difference between the NS-Business Card and NS Flex?
  • Way of invoicing
    • With the NS-Business Card you receive all trips made on one monthly VAT invoice.
    • With NS Flex, you do not receive an invoice but have the option to create a separate declaration statement without VAT percentages in your My NS account.
  • Use of shared transport
    • With both cards you can easily use the train, bus, tram, metro, OV-fiets and 'Stallen op rekening'. With the NS-Business Card you can also choose the international train, shared cars and shared scooters. All costs appear afterwards on one invoice.
  • Costs of card or subscription
    • You can apply for the NS-Business Card and most NS Flex subscriptions for free. Only for Flex Basis and Flex Weekend Voordeel you pay a one-time € 10 administration fee.

What are the benefits of the NS-Business Card?
  • Less administration because you no longer have separate travel declarations. 
  • Extra flexible door-to-door travel with one card. One day the train and OV-fiets are most convenient, the other day the shared car, metro or bus.
  • Pay monthly in arrears via a VAT invoice, suitable for the tax authorities. You do not need to load more balance with the NS-Business Card.
  • No fixed costs, but only pay for the trips you make. No travel = no payment.
  • You can order the NS-Business Card for free.
Tip: do you regularly travel outside rush hour or on a specific route? A subscription offers you extra benefits.

When is the NS Business Card the right choice for me?
If you are a ZZP'er or responsible for the mobility of employees within your organization. In that case, you can apply for NS Business Cards for each employee or a group.  
You really don't have to use public transport daily for this. Our card also offers added value if you or your employees work hybrid: at the office and at home. And occasionally travel by other means of transport such as a shared car or OV-fiets. Even then you save time and money on administration.

Traveling with the free NS-Business Card. How does it work?
You order and use an NS-Business Card for free. You pay nothing for the card. And if you do not travel (and therefore do not use the card), you pay nothing either.
With our card you can travel by train, bus, tram and metro. And - if your employer gives permission - you can use our other door-to-door services, such as a Greenwheels shared car, OV-fiets or Check's electric scooter.
You travel on account, so you do not have to pay anything up front. Your employer will receive a monthly invoice for your travel.

The NS-Business Card with or without subscription. How does it work?
The NS-Business Card is a travel card with which you check in and out in public transport and at our door-to-door services. Your employer receives the invoice afterwards. It is not a subscription (because you only pay for the journeys you make): it is a card that you use to travel.
Do you regularly travel by train on the same route? Or outside peak hours? Then a subscription is almost always more advantageous. Your employer can easily add a subscription to your NS-Business Card. This is completely optional and flexible to activate, change or cancel.
With an NS-Business Card without subscription you can travel just like with an OV-chipkaart, only you will not get a discount on the fare.

When do I have an NS-Business Card with or without a photo?
There is a passport photo of yourself on your NS-Business Card if you have a Traject Vrij, Trein Vrij, OV Vrij or Traject op Maat subscription on your card. This is necessary for possible checks by the conductor.
If you do not have a subscription or a Dal Voordeel subscription, you do not have a passport photo on your NS-Business Card.
Do I need to add balance on my NS-Business Card?
No, in contrast to the OV-chipkaart you do not need to top up your balance on an NS-Business Card. Your organisation will receive an invoice every month for your travel.
Did you add balance to your NS-Business Card anyway? Then unfortunately your card is no longer working properly. Go to the NS desk at the station to get your balance back or to top it up to € 0.00. Then your NS-Business Card will work again, of course only if the card is still valid.

How can I order one or more new NS-Business Cards?
Not yet an NS Zakelijk customer?
Online you can order up to 5 NS-Business Cards at the same time. While ordering you need to make a 1 cent IDEAL payment to verify the account number. The name of the person authorized from your organization to sign the contract with NS is also required. Ordering 1 to a maximum of 5 NS-Business Cards can be done at ns.nl/zakelijk/businesscardsaanvraag.
Do you want to order more than 5 cards? Then use our application form. We will contact you within 5 working days.
After your first order you can add unlimited NS-Business Cards in Mijn NS Zakelijk. Mijn NS Zakelijk is your personal management environment.

Go to Mijn NS Zakelijk for contact persons. Choose 'Order NS-Business Cards' to order cards.

What is the delivery time of an NS-Business Card?
If you have ordered an NS-Business Card, it will be delivered by mail within 14 days at the latest.
How can I request one or more NS-Business Cards online? And what do I need?
You can order a maximum of 5 NS-Business Cards online at the same time. After your first order, you can add/order unlimited cards in Mijn NS Zakelijk.
Important to know: to order online, you must be able to make an IDEAL payment of € 0.01 for verification.

Expired
When does an NS-Business Card expire?
An NS-Business Card is valid for 5 years. The expiration date is shown on your card.
You will receive an e-mail from us when your NS-Business Card is about to expire. This is because we want you to be able to continue to travel after those 5 years. To send you a new card, we need a check on the delivery address and a passport photo if you have an NS-Business Card with a Traject Vrij, Trein Vrij, OV Vrij or Traject op Maat subscription. You can then use the new card for another 5 years.
As a traveler, what should I do if my NS-Business Card is about to expire?
An NS-Business Card is valid for 5 years. About 3.5 weeks before the expiration date you will receive a new card. We will send you several e-mails about this in time. Make sure your address is correct and that you have sent a passport photograph of yourself if necessary, so you can continue to travel.
1. Check your address in Mijn NS Zakelijk
We will send your new NS-Business Card to the address we have on record. Is the address still correct in Mijn NS Zakelijk? Check your address under 'Personal information' and change it immediately if necessary, so you know for sure that you will receive your new NS-Business Card.
2. Upload a new passport photo if necessary
Do you have a Traject Vrij, Trein Vrij, OV Vrij or Traject op Maat subscription? Then there is a passport photo on your NS-Business Card. If you have given permission to keep the passport photo, you do not have to do anything and we will not ask you in our e-mails to upload a new passport photo.
Have you not given permission? Then we'll send you an email 8 weeks before the expiration date asking you to provide a new passport photo. We will send you a reminder a few weeks later.
Please note: without a valid passport photo we cannot send you a new NS-Business Card. Upload a new photo in time. Your old card will no longer work after the expiration date.
3. We will send you the new NS-Business Card
We will send you an e-mail when we send you the new NS-Business Card. No later than 10 working days later you will receive the card at the address we have on record. You can then cut up your old card and throw it away.
As a contact person, how can I see which NS-Business Cards are about to expire?
To do this, go to Mijn NS Zakelijk and choose 'Manage Cards and Cardholders'. Then download the overview in a XLSX file in ZIP format with all NS-Business Cards within your organization. You will see the expiration date for each card in this overview.
As a contact person, what should I do if my employee's NS Business Card is about to expire?
As the contact person, you can make sure your employee's correct address is in Mijn NS Zakelijk. This ensures that we send the new NS-Business Card to the correct delivery address so that your employee can continue to travel. Find out how to make sure addresses are correct in Mijn NS Zakelijk.
As a contact person, how do I ensure that my employees' correct addresses are known to NS?
You can do this in Mijn NS Zakelijk for contact persons. Go to 'Manage cards and cardholders' and search for the cardholder in question. In the search results, click on the cardholder's name and change the address.

Is it possible that I or my employee can no longer travel with the NS-Business Card?
Yes, this can happen if we do not have the correct delivery address or have not received a new passport photo in time. We will then be unable to send you a new NS-Business Card and the old card will expire after the expiration date. After that, you can no longer travel with the old card.
It is therefore important for business travelers to make sure the correct delivery address is in Mijn NS Zakelijk for cardholders. You can check this and change it if necessary under 'Personal information'. It is also important that as a business traveler you upload a new passport photo on time. You only need to do this if you have a Traject Vrij, Trein Vrij, OV Vrij or Traject op Maat subscription on your NS-Business Card.
We send several e-mails well in advance to travelers whose NS-Business Card is about to expire. In these we give all the information needed. So you do not have to find out anything yourself.
My NS-Business Card has expired. What should I do with this card?
If your NS-Business Card has expired, cut it and throw it away. We will send a new NS-Business Card to your address. You don't have to apply for these. Nor do you have to pay for it.
Want to make sure the new card arrives safely? Check your address details in Mijn NS Zakelijk under 'Personal information' and change them immediately if necessary.
How can I upload a passport photo for my new card?
Uploading a new passport photo is done in three steps:
  1. Go to www.ns.nl/pasfoto-kaartvernieuwing or to Mijn NS Zakelijk and then 'My orders'.
  2. Log in with your NS-Business Card number and personal reference number. Both numbers are in the e-mail you receive from us 8 weeks before your NS-Business Card expires.
  3. Add a photo of yourself. Keep in mind:
    1. The photo must look like and not taken that long ago.
    2. Your full face and both eyes are clearly visible, even with head covering.
    3. You can use a passport photo or a crop of your face from a larger photo. In this case, your face should be straight ahead and not too small in the photo.
    4. The photo may be either color or black and white. As long as it is sharp, not too light or dark and has sufficient contrast.
We'll send you an email 8 weeks before your NS-Business Card expires with the same steps as above. Make sure you upload a new passport photo soon. This will allow us to send you a new card and you can be sure you can continue to travel.
How do I avoid having to upload another photo in 5 years?
By giving permission when uploading your photo to keep it for as long as you have an NS Business Card or other NS subscription. If you do this, you will not have to submit a passport photo again when you renew your card.
What if I don't provide a passport photo on time?
Up to 4 weeks before your NS-Business Card expires, you can upload a passport photo and we will deliver your new card on time. If you provide a passport photo later, we will still try to deliver the card to you on time, but we cannot guarantee this. If we have not received a new photo after the expiration date of your NS-Business Card, the card has expired and you can no longer travel. The card will then be terminated. You will receive an e-mail from us about this.
As a contact, can I upload passport photos for my employees with-NS Business Cards?
Yes, you can do this in Mijn NS Zakelijk for contact persons. Under 'Manage cards and cardholders', search for the card in question. Under 'Wait for passport photo' you can upload a photo for your employee (cardholder).
I had a subscription on my old NS Business Card and therefore a card with passport photo and changed it to no subscription. Will I get the new card with or without a passport photo?
If your nearly expired NS-Business Card has a passport photo on it, so does your new one. We do not look at the subscription. This way you can easily add another subscription on your card at a later time. You then do not have to wait for a new NS-Business Card, but only have to go to the NS card machine to pick up your new subscription. Very handy!
I have not yet received my duplicate NS-Business Card
It's unfortunate that you have not yet received your replacement (duplicate) NS-Business Card. Chances are that we do not have your correct delivery address. Please check your address details as follows:
  1. Go to Mijn NS Zakelijk for cardholders
  2. Choose 'Personal information'
  3. Check your address details
  4. If your delivery address is incorrect, please change it
  5. Was the card sent to your organization? Ask the NS contact person within your organization
Was there an incorrect delivery address in Mijn NS Zakelijk?
If you have changed the delivery address, order a duplicate NS-Business Card. You do this in Mijn NS Zakelijk for cardholders under 'My NS-Business Card'. Under 'Directly arrange' choose 'NS-Business Card stolen, lost or damaged? Apply for a duplicate'. Go through the steps, until you see the confirmation with the reference number of your order. You will receive your new NS-Business Card within 10 working days at the new delivery address. You can cut up the old card and throw it away.
Is the delivery address correct and you have not received a new NS-Business Card?
If you have not received a new card 10 working days before your NS-Business Card expires, please contact Customer Service NS at 030 300 11 11.
Are you self-employed?
You can check the status of your new NS-Business Card in Mijn NS Zakelijk. You do this as follows:
  1. Go to Mijn NS Zakelijk for contact persons
  2. Choose 'Manage cards and cardholders'.
  3. Find your card and check the status
Where will my new NS-Business Card be sent to?
We will send your new NS-Business Card to the address known to us. Depending on the agreements with your employer, we will deliver the NS-Business Card to your private address or to the business address. Are you self-employed? Then we will deliver the card to the address known to us in Mijn NS Zakelijk.
If we send the card to your private address or if you are self-employed, make sure we know the correct delivery address. Check your address in Mijn NS Zakelijk for cardholders under 'Personal information' and adjust it if necessary.
I or my employee will get a new NS-Business Card, why can't I change anything on my old card?
To prevent a difference between the old and new NS-Business Cards, you cannot apply for a duplicate or make changes in Mijn NS Zakelijk while we are making and sending you the new card. At a later time, when you have the new card, you can of course do this again.
I no longer want to receive a duplicate NS-Business Card, how can I arrange this?
If you no longer want to receive a duplicate NS-Business Card, you can terminate your card in Mijn NS Zakelijk. As a self-employed person you do this yourself. If you work for an organization, in most cases the NS contact person within your organization terminates cards. You as cardholder can only do this yourself if this has been agreed in the agreement between NS and your organization. Read more about terminating an NS-Business Card.
Lost, damaged, stolen
My NS-Business Card is stolen, lost or damaged. What should I do?
We are sorry to hear that your NS-Business Card has been stolen, lost or damaged. If you are self-employed, you can apply for a replacement card ('duplicate') in Mijn NS Zakelijk, after which your stolen, damaged or lost card will automatically be blocked. If you have an NS-Business Card as an employee of an organization, check within your organization who is allowed to request a duplicate card: yourself or the NS Zakelijk contact.
Apply for a duplicate card as follows:
  1. Log in to Mijn NS Zakelijk for cardholders with your business e-mail address.
  2. Go to 'My NS Business Card'.
  3. Under 'Directly arrange' you will see a button 'NS-Business Card stolen, lost or damaged? Request a duplicate". Clicking this will automatically block your card.
  4. Go through the steps.
  5. You will receive a confirmation e-mail with the reference number.
You will receive your new NS-Business Card within 10 working days at the address you entered.
Compensation for temporary travel
It is important that you can continue to travel, even if you are waiting for a duplicate card. If you had an NS-Business Card with a subscription, we will reimburse the trips you make from the moment you applied for a new card until the moment you receive this card. This applies to all subscriptions except Dal Voordeel.
You can submit the costs for e.g. single tickets or travel with your OV-chipkaart using this form. Under 'Reden van declaratie' select 'Verloren of gestolen abonnement'.
The NS-Business Card of one of our employees is stolen, lost or damaged. What should I do?
In Mijn NS Zakelijk you, as a contact person, can block the card and request a replacement card ('duplicate') for your employee. Here's how you do this:
  1. Log into Mijn NS Zakelijk.
  2. Go to 'Manage cards and cardholders' and search for the cardholder in question.
  3. Click on the card number to block and replace the card.
  4. Under 'Arrange directly' you will see a button 'NS-Business Card stolen, lost or damaged? Request a duplicate'. Clicking this will automatically block your card.
  5. Follow the steps to request a new (duplicate) card until you see the confirmation with the reference number of the order.
  6. Your employee will receive the replacement card within 10 working days at the address indicated.
I have found an NS Business Card. What now?
Try sending the person whose NS-Business Card it is a message via social media. If this doesn't work or you don't get a response, cut the card in half and throw it away.
When will a duplicate NS-Business Card be delivered?
After applying for a duplicate card, you or your employee will receive the new NS-Business Card within 10 business days.
Forgotten to check in or out
I forgot to check-in. What should I do?
Haven't boarded the train yet?
Forgot to check in right after passing the check-in gates or posts? Try to check in with your NS-Business Card before you board the train. If you do not check in in advance, you may be charged a correction fee, depending on your season ticket.
Good to know when checking in
  • Check in at the right check-in post or gate: if you’re travelling with NS, check in with NS; if you’re travelling with Arriva, check in with Arriva.
  • When checking in, make sure to do so at the right side of the gate.
Already in the train?
If you’re already on the train when you realise that you forgot to check in, please let the conductor know.
I forgot to check out. What should I do?
No need to worry! We have enabled our Missed Check-out Service on all our cards by default.
If we can predict where your trip ended:
We’ll change the fare automatically and send you an e-mail.
If we’re not sure where your trip ended:
We’ll also send you an e-mail, so you can correct your trip yourself in Mijn NS Zakelijk. Corrections can be made up to six months after the date of travel.
5 corrections per year
You can correct up to 5 missed check-outs per NS-Business Card per calendar year. Automatic corrections made by the Missed Check-out Service or manual corrections made in Mijn NS Zakelijk or the NS app all count. After 5 corrected check-outs, you’ll no longer receive a notification. After that, only the NS Zakelijk Customer Service Department will be able to correct your missed check-out. NS is not required to honour your request.  Please note: the Missed Check-out Service only works with NS trips.
For which NS-Business Cards does the Missed Check-out Service apply?
For NS-Business Cards without a season ticket, NS-Business Cards with a Dal season ticket and NS-Business Cards with a Traject Vrij season ticket. In the latter case, we will credit the correction fee and will not charge a fare. The Missed Check-Out Service also works on department cards. With these cards, we’ll send an e-mail notification to the Cardholder Contact.
Using the Missed Check-out Service with a department card
You can also use the Missed Check-Out Service with a department card. With department cards, we’ll send an e-mail notification to the Cardholder Contact.
Termination
How to terminate an NS Business Card?
You can terminate an NS-Business Card at any time 30 days after the start date of the card. You do this as a contact person in Mijn NS Zakelijk for contact persons under 'Manage cards and cardholders'. If you are a cardholder and want to terminate your card, do so in Mijn NS Zakelijk for cardholders under 'My NS-Business Card'.
As soon as an NS-Business Card has been terminated in Mijn NS Zakelijk, you will receive an e-mail from us with further information. To permanently terminate your card, it is important that you collect the termination from an NS card machine or OV-chipkaart collection point. If you do not do this in time, the NS-Business Card will remain valid and you will continue to pay for any travel and/or subscription costs.
How do I cancel multiple NS-Business Cards at once?
As an NS contact person, you can cancel several cards at once. Quick and easy!
